Adding Users & Permissions

Depending on your XY Subscription type you will be able to add different user types to your account. 

There are different permissions types available in the Portal, to add new users

1. Navigate to the Admin Tab
2. Select Users
3. Click Invite User

You will need to enter the new user's email address and name and assign permissions based on the level of access required for the user.

Buildings Access

If the user should have access to all current buildings as well as new ones as they come online for this account, make sure 'All buildings' is selected as well as the checkbox 'Grant access to new buildings automatically' 
Otherwise, tick only the buildings the user should have access to - this will restrict the data in the app they can access to only those buildings.

 

NOTE: Some permissions are unavailable for users with restricted building access - ManageAPI, WriteExternalAPI, Admin and ManageCustomers (partner permission) can only be granted to users without building restriction permissions. 

XY Sense Permissions 

Configure the permissions for the user - this informs what functionality they are able to access through the application.

Recommendations:

• Space administrators in charge of modifying space details - ManageSpaces, Admin, ViewLive
• Analytics viewers such as business partners and stakeholders - ViewAnalytics, ViewLive, ViewSpaces
• Admin users - Admin

XY Sense Permission	SSO Role Delegation value	Description
View Spaces	view-spaces	User can access 'Locations' tab via the web app and view floor details and floor information (ie/ floorplans, mapped spaces and space groups)
View Live	view-live	User can access 'Live' tab via the web app. The Live tab allows users to view live heatmaps/occupancy for all the active floors in their portfolio.
View Analytics	view-analytics	User can access 'Analytics' tab via the web app. The 'Analytics' tab allows users to access historical data and reports for their portfolio.
View Live Displays	view-displays	User can access any 'Authorised Users' selected live Displays. Limitations apply to the buildings this user is allocated to within the application.
View Replays	view-Replays	User can now view Replays option in the Insights dropdown of the top navigation bar, and can navigate to the Replays page. Floors available in the Replays building and floor menu are limited to the buildings available to that user.
Manage Displays	manage-displays	User can manage and share Displays. Limitations apply to the buildings this user is allocated to within the application.
Manage Sensor Installations	manage-sensor-installations	User can access 'Locations>Floor>Configure Sensors' to see locations and configure sensor details on floors (incl. installation, calibrations of sensors)
Manage Spaces	manage-spaces	User can access 'Locations>Floor' via the web app and edit/update space and floor information (ie/ update floorplans, map spaces, or assign spaces to neighbourhoods)
Read External Api	read-external-api	User can query all information available via the API, and use the API Explorer via the web app (accessible via the user menu).
Write External Api	write-external-api	User can make changes via the API (ie/ register webhooks, or generate occupancy changes), and use the API Explorer via the web app (accessible via the user menu).
Manage Api	manage-api	User can create and manage API keys and register webhooks
Manage Users	manage-users	User can access 'Admin' tab to invite, re-send invitations and archive users
View Alerts	view-alerts	User can view and monitor all configured alerts and their statuses.
Manage Alerts	manage-alerts	User can create, edit, and delete alerts, as well as configure alert rules and notification settings.

Additional XY Sense Partner User Permissions 

Impersonate Customer		User can open a customer app, this applies the users current permissions in viewing that app
Manage Customers		User can add customers

*SSO role delegation values are the permission values when they are managed via SSO Identity Provider (configured during SSO setup). These values can be without hyphens. e.g. viewanalytics

NOTE: the email address is case sensitive 

Once Invite has been clicked, the new user will receive an email with a temporary password, this password is valid for 7 days before it expires.
