Setting up and Managing Alerts

Designed to help you understand and act on workplace changes in real time, XY Sense Alerts helps you customize occupancy-level notifications to take your workplace management to the next level. 

 

How Alerts work

XY Sense enables workplace teams to configure customized Alerts based on occupancy thresholds in your office. When an Alert is enabled, it will monitor the space/spaces and will send either an email to the nominated contact depending on the configuration of the Alert

The instant notification on occupancy levels, environmental change, or unusual activity allows you and your team to address issues as they arise.

Alerts can be created for a single space, or to manage aggregated spaces.

Setting up Alerts - Administration Page

Permission level required: Administrator

Sensor type: Area, Entry, IAQ

 

NOTE: Contact your Customer Success Manager to have this functionality enabled

 

1. Navigate to the Admin page, where you will see a new sidebar option for Alerts.

    • Select the Alerts option in the sidebar, and click the button

 

 

2. The new alert will default to enabled. (This can be changed at any time from this same view)

    • Fill in the Alert Name. (This will display in the Alert itself)
    • Select whether the type of alert will be for a single space, or multiple spaces (aggregated)
    • Select the space/s by typing into the drop down

 

3. Configure your Alert settings

    • Select a pre-defined option, or create your own. 
    • To add parameters to the alerts, select the advanced option, and include rules
    • Configuration options will depend on the types of sensors available in that space. See this list of available metrics for details of the types and what they do.

 

  1. Determine whether the alert should be sent as an email, or an SMS
    • Add the recipient’s email address or the mobile phone number. 
    • Ensure to select the correct country code

 

  1. Select whether the alert should be active:
    • Within opening hours
    • Outside of opening hours
    • 24 hours 

Note: You can set up opening hours for the building within the Organization Settings page

 

The alerts will be sent to either the SMS or email addresses they have been linked to

Setting up Alerts - Space Mapping page

Permission level required: Manage alerts, View alerts

Sensor type: Area, Entry, IAQ

 

  1. Navigate to the space mapping page
    • Select a space
    • Navigate to alerts section
    • Click on the ‘+’ to configure an alert
    • Alert type and space name have been preselected and cannot be modified



  1. Configure the alert settings
  • Select a pre-defined option or create your own. 
  • To add parameters to the alerts, select the advanced option, and include rules
  • Configuration options will depend on the types of sensors available in that space.

Troubleshooting

  • When setting up an Alert from within a Space in the Space Mapping page, the function will not be available for past dates and spaces. If you believe you should see the + symbol next to the space you're adding the alert to, first check that the filter dates in the top right corner of the screen are set for the current date.
