The XY Sense Analytics Platform is where you can view your workplace insights and dashboards. We understand that having access to accurate utilisation data to inform safe office re-entries and space planning has never been more important.

Portfolio

Monitor utilisation and cost KPIs across your real estate portfolio.

The Portfolio dashboard provides summary metrics on utilisation across sites and across time for periodic review and monitoring. Compare individual buildings and floors, and drill into specific time periods.

Portfolio Report

 

Portfolio Occupancy Report (Headcount)*

Monitor occupancy - how many people are coming in to your buildings and floors across your real estate portfolio.

The Portfolio dashboard provides summary metrics on headcount across sites and across time for periodic review and monitoring. Compare individual buildings and floors, and drill into specific time periods.

 

Weekly Utilization Summary

Click here for a full description. 

 

Monitor and manage daily and weekly utilization of your buildings and floors to track progress on overall utilization metrics for current or previous weeks.

  • View overall utilization statistics by building or floor
  • Use filters to adjust the view by building, floor, or neighbourhood/team 
  • Understand demand for workpoints and collaborative spaces by by day of week or hour of day 
  • Understand your average and peak space utilization by hour of day 

Weekly Occupancy Report (Headcount) 

Monitor and manage daily and weekly occupancy of your buildings and floors to track progress on  your occupancy metrics for the current or previous weeks.

  • View overall occupancy statistics by building or floor including averages and peak occupants
  • Use filters to adjust the view by building or floor
  • Understand demand for floors by day of week or hour of day 
  • Understand traffic in entrances and exits for each of your entrypoints

Present Day Utilization

The Present Day Utilization dashboard allows you to view utilization metrics for the present day up to the last completed hour. 

This dashboard also provides last week’s utilization data compared to today’s, helping users to determine expected peaks and troughs of utilization throughout the day.

Workpoint Utilisation

In the Workpoint Utilisation dashboard you can analyse workpoint utilisation; the percentage of days which the space is "active" (configurable parameter on the amount of time a desk is used to be classified as utilised (1 hour a day, 10 minutes in an hour) and amount of time it is used per day (e.g. 2 hours a day on average).

Drill down to a specific desk or individual workpoint level to determine utilisation as a percentage of days which the space is "active". Statistical breakdowns are provided to demonstrate how workpoint usage may fluctuate over time as well as per team or neighbourhood.

Collaboration Spaces Utilization

The Collaboration Spaces Utilization dashboard displays the utilisation of spaces designed for collaboration (e.g. open collaboration areas, breakout areas, meeting rooms, amenity areas such as kitchens). This dashboard allows you to review statistics like utilization of these spaces, average occupants and average hours occupied for these spaces.

Sessions Breakdown

The Sessions Breakdown dashboard displays the usage of spaces when it is continually occupied - these events can include meetings and visits to spaces. This dashboard allows you to understand popular meeting sizes compared to the space capacity for rightsizing. You can also review statistics like the average session duration, average occupants and number of sessions for these spaces.

Collaboration Spaces - Capacity Alerts

In Collaboration Spaces - Capacity Alerts dashboard you can define an adjusted capacity limit for your spaces, and track if/when/where they are exceeded to identify areas which are overpopulated relative to their room size. This enables COVID-safe capacity limits for meeting rooms and other collaborative spaces in offices.  

This information can help you adapt you continuously monitor and adapt your workplace layout as teams return to offices.

Space Group Balancing

The Space Group Balancing dashboard allows you to track space group spaces such as neighbourhood/team/zone spaces and workpoint usage to inform capacity planning for specific teams.

This dashboard not only determines how many desks are needed per team to meet utilization targets, but provides a holistic assessment of whether an office space can accommodate more occupants, on both a floor or building level. 

Space Group Simulation

The Space Group Simulation dashboard allows you to leverage historical utilisation data from across your floors/locations to simulate your space groups such as neighbourhoods/teams space requirements and better plan for increased or decreased workpoint capacity.

This dashboard extends upon the Space Group Balancing dashboard by allowing you to customise and evaluate different desk allocations on a per neighbourhood basis.

Popular Spaces

The Popular Spaces dashboard highlights the busiest and quietest spaces within your office by analysing average daily usage, what percentage of spaces are used, and how full the space are. It also presents trends in usage over time on a weekly basis for each space type and the office overall.

Workpoints - Candidate Campers

The Workpoints - Candidate Campers dashboard allows you to observe 'camping trends' - Otherwise known as instances where a desk has been claimed (minimal desk usage and personal belongings present) but left unoccupied for the remainder of a day.

It's important to note that currently, our sensors do not identify inanimate objects left at desks, which means "candidate campers" could also reflect free desks. Nonetheless, it is a useful dashboard to inform your real estate teams where you might have to implement behavioural change amongst occupants.
