Serraview Integration - Linking spaces

01.  Overview

The Serraview integration syncs space data between Serraview and XY Sense. When new space groups, space types, or individual spaces are created in Serraview, they must be manually linked to their corresponding items in XY Sense before the sync will include them. This guide explains how to identify items that need linking and how to complete that process.

⚠ Note: The sync runs automatically once items are linked and saved. No manual trigger is required.

 

02.  Getting to the Integration page

To access the Serraview integration settings:

  1. Log in to XY Sense and go to Admin.
  2. Select Integrations from the admin menu.
  3. Click on the Serraview integration option.
  4. Navigate to the relevant tab: Space Groups, Space Types, or Spaces.

 

03.  Understanding Link Statuses

Each row in the Space Groups, Space Types, and Spaces tabs shows a Serraview item alongside its current link status in XY Sense. The table below explains what each status means and what action is required.

04.  Linking Items

All tabs work in a similar way, where XY Sense will try to match on the name of the related space/type. Follow the steps below for whichever tab contains items that need to be linked.

Option A — Accept a system guess

When XY Sense detects a likely match based on name similarity, it displays a suggested link beneath the Serraview item.

  1. Review the suggested match shown below the Serraview item name.
  2. If the suggestion is correct, click on it to accept.
  3. Click Save to confirm.

Option B — Auto-assign all system guesses

If there are multiple unlinked items with system guesses, you can apply all suggestions at once.

  1. Click the Auto-assign button at the top of the tab.
  2. Review the assignments that have been applied.
  3. Click Save to confirm all auto-assignments.

Option C — Manually select a match

If no system guess is shown, or the suggestion is incorrect, you can manually select the correct XY Sense item from the dropdown.

  1. Click the dropdown next to the unlinked Serraview item.
  2. Select the appropriate XY Sense space group, type, or space from the list.
  3. Click Save to confirm.

Option D — Create a new XY Sense item, then link

If the Serraview item has no corresponding item in XY Sense (e.g. a brand new space type that has never existed in XY Sense), you must first create it in XY Sense before it will appear in the dropdown.

  1. Exit the integration settings and navigate to the space management page in XY Sense).
  2. Create the new item, naming it to match the Serraview item.
  3. Return to Admin > Integrations > Serraview and link the new item using Option A or C above.

 

05.  Things to consider

  • XY Sense provides suggested matches on name — naming items consistently between systems reduces the need for manual linking.
  • Each XY Sense space can only be linked to one Serraview item. Once a space is assigned, it will no longer appear in the dropdown for other rows.
  • This one-to-one rule applies to spaces only. Space groups and space types follow the same linking process but check with your administrator if you are unsure about expected mappings.
  • Always click Save after making any changes. Navigating away without saving will discard your updates.

 

06.  After Saving

Once you click Save, the sync will run automatically within 24 hours. No further action is needed. New or updated space data from Serraview will begin appearing in XY Sense on the next sync cycle.

⚠ Note: If linked items are not appearing as expected after saving, allow a full sync cycle to complete before investigating further. Contact your XY Sense administrator if data does not appear within the expected timeframe.
