Welcome to the XY Sense product update for July 2024.
This month, we’re excited to announce that XY Sense now offers Space Booking Analytics, a new suite of integration features and dashboards designed to help you compare meeting room bookings vs. actual space utilization in your offices and unlock greater insights about where and how teams are collaborating in your workplace.
Along with these new analytics features, XY Sense has also expanded our range of integrations with leading space booking and workplace management solutions.

New Space Booking Analytics
Our new Space Booking Analytics securely ingests data from leading room booking tools and management systems (Microsoft Exchange and Google Calendar), enabling teams to compare booking/ reservations for meeting rooms to actual space utilization insights captured from our industry-leading workplace sensors.
What’s possible with XY Sense Space Booking Analytics:
- Understand meeting space supply versus demand: Gain insights into whether your current stock of available meeting spaces meets team needs. Workplace teams are often inundated with requests and complaints about shortages of available meeting spaces. Space Booking Analytics will reveal the true state of meeting space supply and demand.
- Identify inefficient room bookings: Compare actual versus booked meeting lengths and space capacity versus attendance. Are your meeting spaces being used efficiently? Special analyses compare booked versus actual meeting length and room capacity versus actual utilization.
- Track and act on ghost bookings: Find out how often teams book meeting spaces but don’t actually use them. XY Sense will show you how these ghost bookings artificially limit your stock of available spaces and create perceived space shortages.
- Coming soon – Learn where and when ad-hoc meetings occur: Track the number and timing of unbooked meetings held in meeting spaces to understand total demand and see how actual meeting space usage compares to capacity.
- Coming soon – Automated room release and check-ins: We’ll soon be rolling out tools that automatically release booked but unused spaces and book spaces claimed for ad hoc meetings.
What data is available?
Space Booking Analytics offers a broad range of data and visualizations by hour, day, floor, facility location, and all facilities. Data can be tracked over time to understand trends and long-term business needs.
Some of the metrics available in Space Booking Analytics include:
- Meeting Space Demand
- Number of Scheduled Meetings
- Bookings by Space Type
- Space Capacity versus Actual Occupancy
- Time Utilized versus Booked Time
- Show Up Rates
- No Show Analysis
These and other metrics provide the insights you need to optimize meeting space availability and plan future workplace build-outs and updates.
